Ownership Recovery Process

When your subcontractor such as a web designer, reseller partner, or other service provider used their own contact information to purchase our hosting services, our authority is limited to dealing with that subcontractor only because the service records, communication trail, and account level details are tied to that contact information.

However, if both you and iCore are unable to contact the subcontractor after reasonable attempts, we will then move to the next step of our verification process.

At that stage, you may submit the required supporting documents to prove that you are the rightful owner and to request recovery of the domain and hosting services.

This review may include business registration records, proof of payment, domain usage evidence, website ownership evidence, company letter, identity verification, and any other related supporting documents that help establish a clear ownership connection.

If the ownership claim remains disputed, unclear, or unsupported after internal review, iCore may require the parties involved to resolve the matter through proper legal channels.

In the most serious cases, iCore may act only upon a valid court order or other legally binding instruction from the relevant authority.

Renewal Handling During Verification Period

During the identity verification period, iCore may open renewal at the price of the highest category plan.

This is due to actual plan and price disclosure limitations while the ownership review is still in progress and the account control remains under verification.

Until verification is completed, iCore may not be in a position to confirm or disclose the exact service plan structure, internal pricing arrangement, custom package setup, reseller margin, or other account specific commercial details.

Any renewal payment accepted during this period is for service continuity only and does not by itself confirm ownership, transfer account rights, or update the official registered party in our records.

Final control, update, recovery, or transfer of the domain and hosting services will still remain subject to successful verification, internal approval, or legal instruction where necessary.

SLA Base

This process is handled on a best effort verification basis and is not treated as an instant support request. Review time depends on document completeness, case complexity, internal verification requirements, and risk assessment.

iCore may request additional documents, additional confirmation, or more time if the submitted information is incomplete, inconsistent, or involves disputed ownership.

No access change, account update, transfer, or recovery will be processed until the verification review is completed to iCore’s satisfaction.

If the case becomes a legal dispute, timeline expectations under normal support handling will no longer apply and processing may depend on legal review, external instructions, or court direction.

Compliance Malaysia Act

This process is handled in line with responsible data protection, customer verification, and asset protection practices applicable in Malaysia, including personal data handling expectations under the Personal Data Protection Act 2010 where relevant.

iCore does not release account information, billing details, domain control, hosting access, service plan structure, or commercial information to unrelated third parties without sufficient verification.

Where necessary, iCore may retain submitted records for audit, fraud prevention, dispute handling, and internal compliance review purposes.

If required by law, regulation, law enforcement request, or court order, iCore may preserve, disclose, restrict, or transfer relevant records or account control only to the extent legally required.

Common Mistakes

Many clients assume that paying for a website, domain, or hosting automatically gives them immediate control even when the service was originally registered under a web designer, reseller partner, or other service provider’s name or contact details.

Another common mistake is asking multiple different people to contact iCore for the same claim, which can cause confusion, repeated explanation, and slower processing.

Some clients also submit incomplete documents or provide only verbal claims without supporting records. This is usually not sufficient for a recovery review.

A further mistake is assuming that payment of renewal during the verification period automatically proves ownership or confirms the actual service plan and pricing arrangement.

To reduce delays, appoint one authorized representative and prepare complete supporting documents from the start.

FAQ

Why can iCore not deal with me immediately?
Because the service was purchased using the subcontractor’s contact information, whether that subcontractor is a web designer, reseller partner, or other service provider, the subcontractor is the original recognized contact in the system unless further verification proves otherwise.

What happens if the subcontractor cannot be reached?
If both you and iCore are unable to contact the subcontractor after reasonable effort, iCore may proceed to the next stage of ownership verification.

What documents may be required?
Documents may include company registration records, proof of payment, authorization letter, identification documents, invoice records, website usage evidence, and any supporting materials that show ownership connection.

How long does the process take?
The time required depends on the complexity of the case and the quality of the documents submitted. Cases involving disputed ownership or incomplete records may take longer.

Will iCore guarantee recovery?
No. Recovery is subject to successful verification and internal approval. iCore reserves the right to reject requests that do not meet the required standard of proof.

Why is renewal opened at the highest category plan price during the verification period?
This is due to actual plan and price disclosure limitations while the identity verification is still ongoing. Until ownership is confirmed, iCore may not disclose or confirm exact plan details or account specific pricing arrangements.

Does paying the renewal during the verification period confirm ownership?
No. Renewal payment is only for helping to maintain service continuity and does not confirm ownership, transfer account rights, or prove entitlement to the service.

What if both sides dispute ownership and no clear proof is available?
In a disputed case where ownership cannot be established through internal review, iCore may require a court order or legally binding instruction before taking any further action.

Use Case

A business owner appointed a web designer, reseller partner, or other service provider to arrange domain and hosting services. The subcontractor completed the purchase using their own email address and phone number. Later, the subcontractor became uncontactable and the business owner needed access to renew and manage the services.

In this situation, iCore would first recognize the subcontractor as the recorded contact. If reasonable contact attempts fail, the business owner may then submit supporting documents to prove ownership and request recovery.

If the service is due for renewal during the identity verification period, iCore may open the renewal at the price of the highest category plan due to actual plan and price disclosure limitations while the case is still under review.

If the claim remains disputed or both sides provide conflicting information, iCore may freeze further action until the matter is resolved through proper legal process, including court order if necessary.

Summary

If a web designer, reseller partner, or other service provider used their own contact information to purchase hosting services, iCore’s authority is initially limited to dealing with that subcontractor only. If both the client and iCore are unable to reach the subcontractor, the case may proceed to a formal ownership verification stage. At that point, the claimant may submit supporting documents to prove rightful ownership and request recovery of the domain and hosting services. If renewal becomes necessary during the identity verification period, iCore may open the renewal at the price of the highest category plan due to actual plan and price disclosure limitations. This renewal does not confirm ownership, reveal the exact service plan, or transfer account rights. If the case becomes disputed and ownership cannot be clearly established, iCore may require the matter to be resolved through legal channels, including court order where necessary. Because digital asset ownership is sensitive and important, every case must be reviewed carefully and may require time before any change can be approved.
