Data Center Visitation Policy

This policy outlines the procedures, limitations, and security requirements for entering any iCoreHosting-operated data center. It follows global data center best practices to ensure safety, controlled access, and uninterrupted operations.

1. Service Direction / Introduction

The purpose of this visitation policy is to ensure safe, secure, and compliant access to all iCoreHosting data centers. All clients, contractors, and third-party engineers must follow the rules stated in this document for every visit.

2. Visitor Capacity & Approval Rules

  • Up to 2 authorised persons per session (1 primary engineer + 1 support technician).
  • 3 persons allowed only for installation, rack deployment, structured cabling, or migration work with 24 hours advance approval.
  • More than 3 persons requires data center management approval.
  • All individuals must be pre-registered before arrival.
  • Walk-ins or unregistered visitors are strictly not allowed.

3. Standard Visit Requirements (Scheduled Maintenance)

  • All standard visits require minimum 24 hours advance submission.
  • Submit via the official visitation request form:
    https://www.icore.com.my/dc-visitation
  • Only personnel listed in the visit request will be allowed entry.
  • A Visitor ID will be issued and must be visible at all times.

4. Emergency Visit Rules (24/7 Access)

  • Emergency visits are available 24/7.
  • Visitation form is still required before arrival.
  • The NOC must be notified prior to reaching the data center.
  • All individuals must complete identity verification and security screening.
  • A Visitor ID will be issued for entry.

5. Access Control & Security Requirements

  • Only approved and authorised visitors may enter the facility.
  • Mandatory presentation of MyKad or Passport.
  • All entry/exit times and activities are logged for audit and security review.
  • Access will be denied for unregistered persons or unauthorised tools.

6. Escorted vs Unescorted Access

  • Escorted Access: Mandatory for visitors, contractors, vendors, and guests.
  • Unescorted Access: Only provided to long-term colocation clients with approved credentials (key card or smart card).

7. Allowed & Prohibited Tools

Allowed Tools:

  • Laptops
  • Small hand tools
  • Anti-static wrist straps
  • Cable testers
  • Label printers

Prohibited Tools:

  • Power drills
  • Heat guns
  • Soldering irons
  • Blades
  • Open liquids
  • Aerosol sprays
  • Any tool generating sparks or heat

Security reserves the right to reject any non-compliant tool.

8. Restricted Areas (No Client Access)

  • UPS Rooms / Battery Rooms
  • Electrical Switch Rooms
  • Generator & Fuel Storage Areas
  • Cooling Plant Rooms
  • Security Operations Center (SOC)

These areas are strictly off-limits to ensure safety and operational stability.

9. Responsibility Breakdown

iCoreHosting Responsibilities:

  • Provide safe and controlled facility access
  • Maintain entry logs and security monitoring
  • Provide visitor assistance during escorted access

Client Responsibilities:

  • Ensure all visitors are pre-registered
  • Bring valid ID for verification
  • Follow all safety and security rules
  • Use only approved tools inside the data center

10. Malaysia Acts / Compliance

This policy adheres to relevant Malaysian regulations and industry standards including:

  • Personal Data Protection Act (PDPA) 2010 – secure handling of identity information.
  • Occupational Safety and Health Act (OSHA) 1994 – safety guidelines within restricted environments.
  • Communications and Multimedia Act (CMA) 1998 – compliance for regulated facilities and infrastructure.
